1. Who We Are

ReviewMate Pty Ltd ("ReviewMate", "we", "us", "our") operates the ReviewMate reputation management platform at app.matesreview.com and matesreview.com. We are committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. Information We Collect

We collect: (a) Account information — name, email address, business name, password (hashed); (b) Business information — location details, phone, website; (c) Customer data you upload — names, email addresses, phone numbers of your customers; (d) Review data — reviews synced from connected platforms; (e) Usage data — pages visited, features used, time spent; (f) Payment information — processed by Stripe (we do not store card numbers); (g) Communications — emails you send us, support requests.

3. How We Use Your Information

We use your information to: (a) Provide and improve the Service; (b) Send transactional emails (verification, password reset, review alerts, monthly reports); (c) Process payments and manage subscriptions; (d) Provide customer support; (e) Comply with legal obligations; (f) Analyse usage to improve features. We do not sell your personal information to third parties.

4. AI Processing

We use Claude AI (Anthropic) to generate review replies, blog posts, keyword suggestions, and competitor insights. Review text and business details are sent to Anthropic's API for this purpose. Anthropic processes this data under their own privacy policy. We do not use your data to train AI models.

5. Third-Party Services

We share data with trusted third parties only as necessary to provide the Service: Stripe (payments), SendGrid (email), Twilio (SMS), Google (GBP integration, Places API), Anthropic (AI), DataForSEO (search rankings), Vercel (hosting), Google Cloud (infrastructure). All processors are contractually bound to protect your data.

6. Customer Data You Upload

When you import customer lists, you represent that you have lawful authority to provide that data and to contact those customers. You are the data controller for your customer data. We process it on your behalf as a data processor. Customers may opt out of communications at any time.

7. Data Retention

We retain your account data for as long as your account is active, plus 30 days after deletion. Customer data is retained until you delete it or your account is closed. Review data synced from third-party platforms may be subject to those platforms' retention policies.

8. Security

We implement industry-standard security measures including AES-256 encryption for stored OAuth tokens, HTTPS for all data in transit, bcrypt hashing for passwords, and access controls. No system is completely secure; we cannot guarantee absolute security.

9. Your Rights

Under Australian privacy law, you have the right to: (a) Access the personal information we hold about you; (b) Correct inaccurate information; (c) Request deletion of your data; (d) Opt out of marketing communications. To exercise these rights, email hello@matesreview.com. We will respond within 30 days.

10. Cookies

We use essential cookies for authentication (JWT tokens stored as cookies). We do not use tracking or advertising cookies. You can configure your browser to refuse cookies, but this may affect functionality.

11. Children

The Service is not directed at children under 16. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, contact us immediately.

12. Changes to This Policy

We may update this Privacy Policy. We will notify you by email before significant changes take effect. The date at the top of this page reflects the most recent update.
